I am going to start looking at our web pages for civic and how people book the mayor at events. The system that we use for bookings is quite old and part of it is manual.
Can you advise what you do in your authority? Do you have a bespoke system? do you just use outlook etc?

Our LA have just installed a new CRM and forms for requesting the Mayor are completed using this system. Completed online by the requestor and received electronically by the Civic Office with all required details. With regard to our diary system - Outlook works very well for us and bespoke booking / diary systems cost (usually) prohibitive amounts and then high annual service and maintenance costs.
We are pretty much the same as Tracy - a bespoke form on the Civic pages of the Council website, through which an invitation can be sent, and then we use Outlook for the Civic diary - colour-coded and accessible by the Civic Head and Lord Mayor’s Officers. Entries include all event information and attachments. Works well.
